FAQ

What Format Do Sessions Take?

Sessions can take place either virtually or face-to-face at the Old Court House. Tutors will provide all materials, either in printed form for face-to-face sessions or to be projected on the screen on the conference software for virtual ones. Tutors will plan topics for coverage according to student and/or parent request, and from assessing gaps in students’ knowledge during sessions.

How Frequently Can I Book Sessions?

Most students have sessions once per week on a regular day and time, but sessions can be booked more or less frequently than that. Students may prefer, for instance, to have multiple sessions per week when close to a formal exam, or monthly sessions, or to contact their tutor to arrange sessions on an ad hoc basis. For regular weekly sessions your tutor will hold your chosen time slot for you on an ongoing basis, but for those sessions taking place less frequently we cannot guarantee that your preferred timeslot will always be available.

Do I have to Sign Up For a Particular Number of Sessions?

No – you can start lessons with no obligation to continue with us for any set period of time, and the opportunity to cease tutoring whenever you choose (subject to our cancellation period). Some tutoring companies require you to sign up, and pay, for a block of lessons.

How Do I Rearrange or Cancel a Session?

Simply contact your tutor to arrange an alternative date for the session, or to cancel a session. They will let the office know and, where applicable, your future invoices will be adjusted accordingly. You can also contact the office direct by email if you prefer, and they will make contact with your tutor to advise of the cancellation.

What if I Want to Cancel Sessions Altogether?

Let your tutor know and they will advise the office who will cease your invoices from the relevant date. If you prefer to advise the office direct you can do so and they will advise your tutor. You do not have to give a reason for ceasing tuition but we value any feedback. The cancellation terms still
apply when advising us that sessions are ceasing all together

What Online Platform Do Virtual Sessions Use?

Our preferred platform is Zoom, but tutors can use whichever conference software students are familiar and comfortable with (e.g. Microsoft Teams, Skype, etc.). Tutors will email joining instructions to the parent/carer in advance of the session date.

Do I need to Print Out Resources Before the Session?

For face-to-face sessions, tutors will print and provide all materials for the student to work on although students may also wish to bring additional materials from school or their own revision resources. Tutors will plan topics and activities in advance based on student or parent/carer request, and on their assessment of areas for intervention that have come up in previous sessions. The worksheets and booklets will be projected on screen during sessions, and can be emailed to the parent/carer in advance to be printed for the student to work on during the session, or the student can work on paper if they prefer.

How Do I Pay for a Session?

When you arrange your first session with a tutor, I will email you our terms of business and an invoice. You can choose whether to pay for sessions on a weekly or a monthly basis. The invoice will detail the amount due and the date by which it is to be paid. Payments are taken in advance of sessions and are due either four days prior to the session date or one week from the date of the invoice, whichever is sooner. We do not accept cash.

What if I Am Late to a Payment?

Your payment holds your session slot in the tutor’s diary. If we do not receive payment by the date specified on the invoice, we will endeavour to contact you to remind you that your payment is due. Any amounts still overdue a day after the due date will be cancelled so that the session slot can be offered to other students.

Session Cancellation Terms

We do understand that on occasion students are unwell or are unable to attend a session because they have other commitments. However, any session cancelled on the day it was due to take place – for whatever reason – are charged in full. This is because it will not be possible for tutors to rebook your slot at such late notice, and because we pay tutors for sessions cancelled on the day as if they had taken place. Sessions cancelled the day before the session date are not charged and any payment already received will be credited towards your next session or, if no further session are to take place then payment will be refunded to you minus a 10% administration fee. For sessions cancelled two days before the session date, or earlier, payment already received will be credited towards your next session or you can receive a full refund with no administration fee

What if My Tutor Cancels?

We never charge for sessions that tutors have cancelled, and any payment already received will be credited towards your next session.
